Privacy Policy

Introduction

In 2018 the General Data Protection Regulation (GDPR) came into force across the EU.  This regulation strengthens your right to privacy, control of, and access to information collected about you.  This privacy policy sets out your rights along with our practices for collecting and storing your personal information.

How do we get information?

Any personal information we process is provided to us directly by you for one of the following reasons:

  • You have created a member’s account.
  • You have subscribed to our mailing list.
  • You have submitted a comment, query or complaint to us.
  • You have submitted user provided content to us.
  • You have applied for a job or placement with us.


Information collected by Geniedex

The information we collect and store about you may include the following:

  • Your name and country.
  • Your email address and password.
  • Your genealogical interests.

This information is collected to allow unique identification when you log on to the website.  It is used for the purposes of improving user experience and to help with communications between us and you. 

We do not store your actual password – this is encrypted so we cannot see what it is, but you can still use it to log into your account.

Some of the information, such as your name and country is required for VAT purposes.  We may use some of the information such as your nationality and research interests to produce website statistics and to improve our products and services.  If published, this will be anonymised.

Historical information from other sources

Geniedex collects historical facts from sources including (but not limited to) churches, official records and newspapers.  These records are available to a greater or lesser extent to members and non-members.

Many of our records relate to births, marriages and deaths.  We stick to the rule familiar with genealogists whereby we will not display births less than 100 years old, marriages less than 75 years old, or deaths less than 50 years old.

Other records include publicly-available directories such as phone books.  In some cases, these may contain information about people published less than 50 years ago.

Your data protection rights and our commitments

Under data protection law you have certain rights:

  • You have the right to ask us for copies of your personal information.
  • You have the right to ask us to rectify any information which you think is inaccurate.
  • You have the right to ask us to erase your personal information.
  • You have the right to ask us to restrict the processing of information about you.
  • You have the right to object to the processing of information about you.
  • You have the right to ask us to transfer any information you have given us to you or another organisation.

Genealogy is a hobby which can last a lifetime, and by its very nature spans generations.  Therefore we will retain any personal information you provide us until you request for it to be deleted.

We will not share your information with any third parties for the purposes of direct marketing.  Third parties (e.g. server hosts and website designers) are involved in the processing of data and the running of this site, but they cannot do anything with your personal information unless we have instructed them to do it.  They will not share your information with any organisation apart from us.

We are committed to ensuring that your information is secure. In order to prevent unauthorized access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
